Job Purpose:
Our client is seeking an Executive Assistant who plays a pivotal role in enabling the Chief Executive (CE) and Chief Financial Officer (CFO) to focus on strategic priorities by ensuring the seamless and efficient management of their daily operations.
Responsibilities:
- Draft and edit internal and external communications, presentations, and reports for senior leadership
- Summarise meeting discussions and action items, and follow up with relevant stakeholders as required
- Provide governance support for CE and CFO meetings, including scheduling, agenda preparation, and minute-taking
- Prepare presentations, collate reports, and draft memorandums
- Manage diaries and schedules, including coordination of meetings, preparation, and follow-up activities
- Build and maintain key stakeholder relationships across internal and external parties
- Consolidate and distribute reports and documentation to relevant stakeholders
- Support event planning and logistics coordination
- Arrange business and leisure travel (flights, accommodation, and ground transportation) in coordination with the Finance department for both local and international trips
- Assist with special projects and initiatives as assigned by the CEO and CFO
- Act as a key liaison between the board and internal/external stakeholders
- Provide insights, recommendations, and strategic input to support high-impact decision-making
- Maintain strict confidentiality and manage sensitive information, including financial, legal, and personnel data, with appropriate risk awareness
- Demonstrate strong information management capabilities, ensuring accuracy, organisation, and secure handling of documentation
- Draft clear internal memos, correspondence, and business communications, and proofread documents to ensure quality and accuracy
- Apply a foundational understanding of the organisation’s industry, objectives, and key stakeholders to operate effectively as a strategic interface
- Assist with budgeting, expense tracking, and financial documentation support
- Apply knowledge of project management principles and workflow optimisation to support efficient execution of tasks and initiatives
- Produce high-quality business writing and professional correspondence as required
Qualifications and Experience:
- Completed Matric qualification
- Bachelor’s degree or National Diploma in a relevant field (e.g. Business Administration, Business Science, BCom in Public Administration, or Legal Secretarial Diploma)
- 5–8 years’ proven experience, preferably supporting C-suite executives
