Job Purpose:
Our client is seeking an Office and Finance Administrator to manage a diverse portfolio of office management and financial administration responsibilities. This role is essential to the smooth day-to-day operation of the business, ensuring efficient administrative processes, accurate financial support, and effective coordination across various functions.
Responsibilities:
- Manage daily office administration for the Cape Town and Johannesburg offices
- Liaise with rental agencies regarding office-related matters
- Manage office budgets and reconcile monthly running costs
- Coordinate office maintenance, repairs, and general facilities management
- Oversee office access control, parking allocation, and logistics
- Monitor and manage the procurement of hardware, office supplies, and cleaning materials
- Assist with employee onboarding and exit administration processes
- Manage hotdesk setup and workstation allocation
- Organise meetings and coordinate travel arrangements, including cost reconciliations
- Serve as the first point of contact by answering calls, welcoming guests, and handling general errands
- Supervise and manage office cleaning staff
Financial Administration
- Prepare and issue invoices to clients
- Follow up on outstanding debtor payments
- Process journals and allocate bank transactions
- Reconcile bank accounts accurately and timeously
- Capture EFT payments for authorisation
- Verify supplier banking details
- Assist with monthly payroll administration
- Support financial year-end processes and reporting
General Administration
- Maintain organised electronic and physical filing systems for office and financial records
- Provide administrative support to the Marketing Team for events and related activities
Qualifications & Experience:
- Matric (Grade 12) certificate required, with Mathematics and/or Accounting as subjects.
- BCom degree or equivalent qualification would be highly advantageous.
- Minimum of 18 months’ accounting experience, including:
- Processing financial transactions
- Invoicing and collections
- Reconciliations
- Payroll administration
- Alternatively, at least 18 months’ office administration experience.
- Minimum of 18 months’ experience using:
- Microsoft Office (Word, Excel, PowerPoint) and/or
- Google Workspace (Docs, Sheets, Slides)
