Executive Personal Assistant

Job Purpose:

Our client is seeking a Senior Engineer to manage and coordinate site engineering services and project activities, ensuring optimal performance of plant and equipment. The role focuses on overseeing engineering operations, driving efficiency, and supporting continuous improvement initiatives to maximise reliability, safety, and overall operational effectiveness.

Experience & Responsibilities: 

  • Assist Operations and Academic Managers with administrative and project-related tasks as required
  • Support recruitment and HR processes, including onboarding, staff records, and exit interviews
  • Coordinate special projects and company events as requested by management
  • Act as Risk Champion, ensuring compliance reporting and maintenance of the risk register
  • Prepare agendas, meeting packs, and minutes for executive and staff meetings
  • Liaise with internal and external stakeholders on behalf of the CEO
  • Provide comprehensive personal and executive assistance to the CEO, including diary management, travel arrangements, and personal errands
  • Perform general administrative tasks to support smooth office operations
  • Manage and maintain the office environment, including health and safety compliance, maintenance, and repairs
  • Manage office stock and purchases
  • Handle confidential and sensitive information with discretion
  • Travel to the office and other locations as required
  • High level of trust and confidentiality
  • Ability to work under pressure and remain calm in fast-paced environments
  • Strong team player with the ability to collaborate across departments and build positive relationships

Qualifications and Skills:

  • 3-year tertiary qualification in Human Resources, Administration, Business Management, or a related field
  • 3–5 years’ experience in a similar role
  • Experience in the Further Education and Training (FET) environment
  • Familiarity with the Higher Education and Training (HET) environment
  • Knowledge of SETA, educational legislation, and practices
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and digital collaboration tools (Teams, SharePoint, Zoom)
  • Strong command of English, both written and verbal, ensuring clear communication
  • Strong organisational, time management, and project management skills with the ability to manage multiple priorities and meet deadlines consistently
  • High level of discretion
  • Ability to work independently, take initiative, and proactively anticipate needs
  • Own reliable transport and a valid driver’s licence.
